Overview

The Residential Operations Closing Manager primary responsibility is to maintain the Closing/Funding daily procedures and workflow; managing queues; updating Standard Operating Procedures. This role enforces adherence to the bank's residential loan procedures and investor's loan and documentation policies and guidelines. The position exercises independent judgment and discretion within the scope of authority, ensuring decisions align with the bank's operational standards. The role provides leadership to operational staff regarding closing operations.

 

Principal Duties & Responsibilities:

  • Assists closers and funders to maintain company set turn times.
  • Coordinates and manages daily work flow requirements in coordination with underwriting and the Operations Management.
  • Manages reviews of outstanding wires and releasing funds.
  • Coordinates with Operations Manager, Secondary and Underwriting to manage lock expiration, expiring documentation and any additional loan level conditions that may arise after the loan has been final approved that would impact qualification.
  • Oversees communications to internal staff and external staff, verbally and in writing regarding status, issues or additional requirements for closing or funding.
  • Ensures all Closers and Funders perform to company set standard productivity and customer service levels.
  • Conducts new and ongoing training for Closers and Funders, leads staff meetings to communicate industry and company changes in order to maintain team unity and comprehension.
  • Responds to post closing purchase deficiencies, Government Insuring and QC reports within company set standards and implements additional training when applicable.
  • Ensure compliance with all applicable regulations.

Qualifications

  • 5-7 years years loan closing and funding experience. Required
  • Minimum 2 years years supervisory experience. Required
  • Deep knowledge of residential mortgage loan closing, funding processes, and documentation requirements.

  • Strong understanding of federal and state mortgage lending regulations (e.g., RESPA, TILA, HMDA).

  • Familiarity with investor guidelines and secondary market requirements.

  • Knowledge of loan underwriting and post-closing quality control procedures.

  • Proficient in mortgage operations software and workflow management systems, including Encompass loan origination software.

  • Ability to exercise independent judgment and discretion within the scope of authority.

  • Ability to develop and influence policies and procedures to improve operational efficiency and compliance.

  • Ability to collaborate effectively across departments and with external partners.

  • Capacity to analyze operational data and identify opportunities for continuous improvement.

  • Ability to manage conflict and resolve issues with a customer-focused approach.

  • Strong leadership and team management skills, including coaching and staff development.

  • Excellent verbal and written communication skills for clear and effective stakeholder engagement.

  • Advanced organizational and workflow management skills.

  • Strong problem-solving and decision-making abilities, with keen attention to detail.

  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

Education

  • High School Diploma or GED equivalent or an equivalent combination of education and relevant professional experience may be considered in lieu of a degree.
