Overview

The Wealth Management Services and Operations Manager is a highly organized, client-focused, and detail-oriented professional leading our wealth management operations and client service functions. This person will oversee daily operational workflows, ensure regulatory compliance, and deliver exceptional service to high-net-worth clients. This role bridges the gap between front-office advisor's and back-office operations, ensuring seamless execution and client satisfaction.

 

The Wealth Management Services and Operations Manager supports Trust Officers and Wealth Advisor's with operational tasks including portfolio management, financial modeling, trading, reporting, and client deliverables, while also managing trust systems, cash movements, and vendor relationships. This position plays a vital role in both day-to-day execution and broader strategic initiatives aimed at enhancing service and operational efficiency.

 

Principal Duties & Responsibilites: 

  • Lead the Services and Support team, providing day-to-day oversight, coaching, performance feedback, and professional development to ensure high service standards and team engagement.
  • Oversee daily operational and services activities including onboarding new clients, account setup, transfers, account maintenance, preparing correspondence, inflows/outflows, overdrafts, responding to client inquiries & daily reconciliation
  • Collaborate with Trust Officers and Wealth Advisors on information and fund release requests and process transactions related to Trust and Wealth Administration.
  • Work cross-functionally with advisors, portfolio managers, compliance, and finance teams.
  • Manage onboarding, maintenance, and closure of trust and investment accounts, ensuring compliance with regulatory and operational standards.
  • Independently prepare and manage loan documentation across consumer, commercial, and real estate transactions, including due diligence, title review, and coordination with legal and title partners. Ensure accuracy and timeliness of transactions and reporting
  • Oversee incoming funds, remote deposits, and ACH payment setups, ensuring timely and accurate processing and reconciliation.
  • Monitor daily cash balances, resolve overdrafts, and ensure accurate tax coding and reporting.
  • Administer agency accounts and maintain adherence to all regulatory requirements across client activities.
  • Conduct quality reviews of KYC profiles and support bankers with KYC renewals and due diligence.
  • Coordinate with custodians, vendors, and technology providers to resolve operational issues.
  • Provide subject matter expertise on wealth management systems, reporting, and platform training for internal stakeholders.
  • Generate and analyze business performance, compliance, and operational reports; identify trends and opportunities for improvement.
  • Manage special initiatives, including department-level projects such as the U.S. Wealth Project.
  • Support internal and external audits by preparing detailed, accurate responses and maintaining audit readiness.
  • Champion a culture of collaboration, integrity, inclusion, and accountability; foster team motivation, recognition, and cross-training.
  • Monitor resource needs, manage overtime within FLSA standards, and allocate duties to ensure seamless workflow and service continuity.
  • Maintain compliance with internal policies and regulatory requirements (e.g., OCC)
  • Develop, implement, and continuously improve operational policies, procedures, and quality assurance measures.
  • Engage in strategic planning and regular communication with leadership to align on departmental goals and operational priorities.
  • Stay informed of platform changes, policy updates, and best practices through leadership forums and team communications.
  • Perform additional assignments and ad hoc projects as directed by management.
  • Lead the Services and Support team, providing day-to-day oversight, coaching, performance feedback, and professional development to ensure high service standards and team engagement.

Qualifications

  • 10+ years of trust administration, financial services or accounting experience.
  • 2-4 years of experience in a leadership capacity.
  • Strong understanding of wealth management industry, investment products, custodial platforms including FIS/Reliance & Charles Schwab, and financial regulations.
  • Proficiency in CRM systems, and Microsoft Office Suite.
  • Knowledge of Envestnet TAMP.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Discretion in handling confidential information and sensitive data.
  • Attention to detail and accuracy while meeting deadlines.
  • Knowledge of collateral control and loan servicing requirements.
  • Familiarity with consumer protection and compliance regulations.
  • Good oral and written communications and organizational skills.
  • Must be able to work in a team environment and service oriented. Experienced with automated loan documentation prep systems.

Education

  • Bachelor's Degree in Business, Finance or related, preferred.
  • Master's in Business, Finance, or related.
  • An equivalent combination of education and relevant professional experience may be considered in lieu of a degree.
